QuickBooks is a great accounting and bookkeeping tool. What you might not know is that, paired with Xerox® multifunction printers (MFP) and the Xerox Connect App for QuickBooks Online® , it can now become your new virtual office assistant, allowing you to scan, edit, and send multiple receipts or invoices directly from your Xerox device into QuickBooks. You can even notify accounting or any approver, all in one easy operation. The app can also help you prepare, edit and submit expense reports right at the MFP, often in 20 minutes (quicker than pizza delivery).

Mike Hamfelt: Hey everyone, this is Mike Hamfelt here from Com Pro Managed Business Solutions. If you’re using QuickBooks in your small or medium sized business and you absolutely dread submitting your expenses, then this video is absolutely for you.

Today, Dominic, National Partner Manager with Xerox, is going to give a quick overview of the QuickBooks App that is available on all Xerox multi-function devices. How are you doing Dominic?

Dominic Tremblay: Thanks Mike. Thank you very much. Today, we’re going to talk about the QuickBooks Online App. Just to recap, Xerox has a connect key environment in all our devices, from the small multi-function A4 products (which is letterhead), all the way to light production. They have the same capabilities to add the App Gallery into the devices. The App Gallery is basically like your phone. It’s an app store, or like the Google store, to help you personalize your device with what you need and what you want… Today, we’re going to talk about the QuickBooks Online App.

The QuickBooks Online App is for users that use QuickBooks already right now and who are having issues, or challenges, scanning all their invoices into an expense report. So, what this app will do is allow you to scan multiple receipts all at once — that’s a key feature.

As you can see on my screen, it will also allow you to edit the fields that it has scanned for you to make sure that you have the proper information for your expense report and you’re able to route that directly to the person that is responsible for authorizing those expenses. All of that, right at the device, without having to scan to your email account, go back to the office or pc, then grab the information and create your receipt. This is all done at the device with multiple receipts being scanned all at once and having editable fields and sending it to the person that is responsible for approving those receipts. So, you can do that very quickly, very efficiently and be more productive.
